Position Overview:
Keyman Personnel is excited to offer a dynamic opportunity for a dedicated and skilled Freelance Administrator to join our esteemed client's team. This role is pivotal in ensuring seamless administrative operations, particularly focusing on vehicle management and client services.
Key Duties & Responsibilities:
• Act upon Internal/External Client Vehicle Requirements: Proactively address and fulfil vehicle-related needs of both internal and external clients.
• Order Management: Efficiently raise order numbers for parts, fluids, and consumables as requested.
• Invoice Processing: Manage and process supplier invoices and batches with precision and timeliness.
• Work-in-Progress Management: Vigilantly oversee ongoing work, ensuring timely completion and escalating issues when necessary.
• Invoicing: Handle invoicing tasks for all third-party and internal clients with accuracy and efficiency.
• Document Management: Scan and dispatch inspection/service sheets to clients and upload them onto the Key 2 vehicle database.
• Job Card Creation: Skillfully raise job cards to streamline workflow.
• Timesheet Processing: Process workshop timesheets, ensuring accuracy in recording and reporting.
• Relationship Building: Establish and maintain effective relationships with workshop staff, operational teams, and external clients.
• Compliance: Ensure strict adherence to Operator License Undertakings, maintaining high standards of compliance.
Essential Requirements:
• Must hold a current UK driving license.
• Proven administrative experience, preferably in a similar role.
• Excellent organizational and communication skills.
• Ability to work independently with minimal supervision.
